Human, AI & Hybrid Scenarios
A missed call is an unanswered call event, not necessarily a lost customer. To assess potential commercial impact, first account for repeat callers, genuine enquiry qualification and leads your existing team already recovers. The BhavPro calculator then compares possible recovered enquiries, sales contribution and operating costs for different call-handling routes.
Use actual call records where available, adjusting for repeat attempts and enquiries already returned.
Model staff callbacks, defined AI voice handling and a combined fallback workflow as alternatives.
Keep potential sales revenue, gross margin and ongoing answering costs separate.
Start with your telephone-system and CRM figures when available. Otherwise, treat the results as planning scenarios.
Record inbound attempts, missed-call rate, qualification, existing recovery, sale value and margin.
Enter AI coverage and completion, human callback attempts, live contact rates and transfer choices.
Include platform fees, usage, setup, staff time and optional call or transfer charges.
Compare monthly contribution, first-year deployment and the limitations behind each estimate.
An accurate calculation starts by defining the events that belong in the commercial opportunity pool.
| Input | What it means | What to avoid |
|---|---|---|
| Inbound calls | All incoming call attempts over a representative month. | Equating attempts with different callers. |
| Missed-call rate | Share of inbound call events not answered by your current route. | Adding the same call to multiple missed categories. |
| Repeat-call events | Estimated duplicate attempts within missed calls. | Counting repeated calls as separate prospective customers. |
| Qualified enquiry share | Missed calls that are relevant to a real business enquiry. | Counting spam, wrong numbers and unrelated service requests as sales. |
| Existing follow-up recovery | Qualified enquiries already recovered by your current process. | Crediting recovered leads to a future AI system a second time. |
| Sales conversion | Share of recovered enquiries expected to result in sales. | Treating an answered conversation as a completed sale. |
| Gross margin | Revenue remaining after relevant direct costs of sale. | Presenting total revenue as business profit. |
The tool uses owner-entered data. It does not independently verify PBX logs, individual callers, CRM opportunities, supplier charges or attributed revenue.
The model is a sequence of deductions and recovery assumptionsโnot โmissed calls ร average sale valueโ.
| Stage | Calculation principle | Interpretation |
|---|---|---|
| Missed attempts | Inbound call events ร missed-call percentage | Unanswered telephone events, before removing repeats. |
| Unique missed events | Remove the stated repeat-event share | An estimate of separate opportunities, not verified people. |
| Qualified missed enquiries | Apply eligible enquiry shares to non-overlapping categories | Removes calls outside the genuine-enquiry scope. |
| Unrecovered pool | Subtract already-recovered qualified enquiries once | A common starting pool for all alternative response models. |
| Recovered enquiries | Apply scenario-specific coverage and successful recovery | AI, human and hybrid options are compared, not totalled together. |
| Potential sales revenue | Expected recovered sales ร assumed average sale value | Revenue forecast based on assumptions, not realised income. |
| Gross contribution | Scenario revenue ร assumed gross margin | A stronger economic comparison than gross revenue alone. |
| Net contribution | Gross contribution less relevant operating charges | Illustrative scenario economics before wider business overheads. |
Human-only, AI-only and hybrid outcomes share the same unresolved enquiry pool. They are different options for handling the same enquiriesโnot additional leads to add together.
The difference between call attempts, qualified enquiries and actual sales is central to a credible estimate.
A business receiving 1,000 calls per month with an assumed 20% missed-call rate records 200 missed events. If 10% are repeat attempts, the estimate becomes 180 unique missed events.
At a 50% qualified-enquiry share, the model gives 90 qualified enquiries. If the existing callback process already recovers 20%, the remaining pool is 72 unresolved qualified enquiries.
Recovery rates, sale conversion, average value, gross margin and actual handling costs must still be applied before interpreting any financial projection.
The numbers are chosen to demonstrate the calculation; they are not UK market averages, measured client results or predictions of future sales.
Choose the method that meets customer needs and operating controls. AI voice is an option, not a compulsory result of this calculator.
Assign missed enquiries, set callback ownership, measure time to contact and track outcomes in your CRM.
Handle permitted initial enquiries at suitable times, capture information and assess completion or escalation rates.
Combine appropriate automated answering with live transfers and follow-up for questions the AI should not handle.
Review queues, business hours, forwarding, voicemail delivery and other conventional options before buying new software.

The calculator supports editable supplier and labour assumptions. No default figure should be interpreted as a verified UK supplier quotation.
| Cost or operating factor | AI voice scenario | Human callback scenario |
|---|---|---|
| Fixed expenditure | Monthly platform subscription and support charges. | Staff cost already committed may differ from incremental labour cost. |
| Variable handling | Billable call minutes, increments, per-call fees and transfer charges. | Callback attempt and conversation minutes valued at fully loaded hourly cost. |
| Setup and deployment | One-off onboarding and phased first-year ramp. | Training, call-flow review and procedures where relevant. |
| Quality and oversight | Availability, direct completion, live transfer and QA time. | Contact success, escalation, staff availability and follow-up ownership. |
| Commercial outcome | AI-recovered qualified enquiries ร AI conversion assumption. | Human-recovered qualified enquiries ร human conversion assumption. |
A free or low monthly subscription is not necessarily the lowest-cost operational route. Included minutes, billing increments, transfer fees, oversight and unsuccessful handling can materially change the comparison.
Advanced fields let businesses evaluate a more realistic call lifecycle while keeping each event in its proper category.
| Scenario detail | Why it matters | What the tool models |
|---|---|---|
| After-hours calls | Calls may arrive when no human staff are on duty. | A distinct after-hours share within missed events. |
| Abandoned in-hours calls | Callers can leave queues before an employee answers. | A separate, non-overlapping abandonment share. |
| AI service availability | A routed call is not necessarily completed successfully. | Availability and direct recovery considered separately. |
| Human handoff | Some conversations need an appropriately authorised person. | Transfers and successful handoff recovery where entered. |
| Outages and fallback | A failed AI service should not silently disappear from routing. | Optional explicit human fallback during outages. |
| Deployment ramp | A newly deployed flow might not operate at full planned coverage. | Launch month and a phased first-year coverage model. |
| Sensitivity scenarios | Recovery assumptions can materially alter the outcome. | Illustrative conservative, base and optimistic variations. |
Before relying on the result for procurement, validate representative call and lead records using consistent definitions.
| Where to look | Useful data | Limitation |
|---|---|---|
| Cloud PBX / call-detail records | Call time, answer status, number, routing and repeat attempts. | A missed call event does not establish sales intent. |
| Queue and agent reports | Abandoned calls, wait times, attempted transfers and hours. | Counts can differ depending on platform definitions. |
| CRM lead records | Enquiry owner, callback status, qualification and final outcome. | Missing or inconsistent activity logs can misstate recovery. |
| Booking / sales records | Observed conversion and average value over a consistent period. | Not all conversions are attributable to originally missed calls. |
| AI supplier usage reports | Billed minutes, inclusions, transfer events and platform charges. | A successful voice interaction is not proof of a sale. |
Use summary totals where possible. Call recordings, caller details, transcript handling and lead retention require appropriate privacy, access-control and governance decisions.
The business value depends on the full call journey, not simply whether the voice agent can speak.
Your PBX or cloud telephone system applies opening hours, number and queue rules.
The AI answers permitted queries, captures approved details or routes to a person.
Capture the correct CRM contact, task, appointment or escalation with suitable permissions.
Review genuine resolution, completed handoffs, follow-up and attributable outcomes.
A pleasant AI demonstration does not establish a production-ready calling service. Routing failures, incorrect responses, consent, security, customer impact and human fallback need acceptance testing.
The strongest business case is built on persistent service gaps that cannot be resolved more simply.
BhavPro is led by Bhav Giva, whose professional background includes VoIP platforms, telecom operations, call routing, customer processes, CRM development and system integrations over more than 15 years.
This experience informs an implementation-led approach to missed-call handling: review the existing telephone environment, identify the operational problem, plan an appropriate handoff and connect enquiries to accountable follow-up.
The calculator does not claim to have independently measured any client's lost revenue or guaranteed future recovery.
Common questions about call events, AI answering, recovery assumptions and financial interpretation.
Identify missed telephone events, deduct estimated repeats and unrelated calls, subtract qualified enquiries already recovered, then apply realistic recovery, sale conversion, average sale value, gross margin and handling costs.
No. Some callers retry, are existing customers, contact you through another channel or have no relevant buying need. The model specifically separates call events from qualified unresolved enquiries.
Yes. BhavPro provides the calculator as a free business planning tool. The results use your own editable inputs and do not represent a supplier quotation.
No. The public calculator is not authenticated to your PBX, call recordings, CRM, invoices or AI supplier account. You enter any values yourself.
Yes. It models human-only, AI-only and hybrid routes against the same unresolved qualified pool. The scenarios are not additive sales forecasts.
Yes. Advanced fields support non-overlapping call categories and optional category-specific qualification assumptions.
Yes. Enter platform fees, usage and onboarding. Advanced assumptions include minute billing increments, bundled allowances, per-call fees, transfer charges, oversight and support.
Depending on the telephony platform and implementation, they can escalate or transfer suitable calls. This must be designed and tested, including failed handoffs and out-of-hours fallback.
Gross margin distinguishes revenue from the contribution after relevant direct sale costs. It provides a more useful basis for comparing the potential value of recovered enquiries against answering costs.
No. The model supports a chosen launch month, a phased active-month coverage ramp and one-off setup costs. Fixed active-month charges are treated separately from coverage.
No. Forecasts are hypothetical scenarios based on assumptions, not evidence that any caller would have bought, any AI answer would succeed or a chosen vendor will deliver those outcomes.
Validate assumptions with call and CRM records, inspect the unresolved categories, compare practical human and automation changes, then test an appropriate call flow before wider deployment.
